THE DIY GUIDE

Getting started with AI in your business

Choose a useful task, try it with suitable information, and build a routine you can repeat. This checklist helps you get started at your own pace.

1. Choose one task worth trying

List the tasks you repeat each week: customer updates, quotation drafts, meeting notes, service descriptions or supplier research. Choose one with clear inputs, a useful output and someone who can check the result.

Write down how you do it now and roughly how long it takes. Start with a draft or summary you can review before it is used. A decision affecting someone’s health, finances, employment or access to a service needs a different level of assessment and expertise.

2. Check your tools and choose a suitable account

Look at what you already pay for and what an AI tool would need to do for this task. Compare the exact plan, ongoing cost, usage limits, device access, account ownership and the controls available for your information.

Read the current provider documentation and terms before signing up. Check what happens to information you enter, who can access it, how long it is retained and which settings you can change. Set up the account and billing in your business’s name, enable two-factor authentication where available and check recovery details.

3. Decide what information to use

Start with public business facts or a fictional example. Remove customer names, contact details and other information the task does not need. Do not upload a whole mailbox or document library just because the tool offers a connection.

Before using personal or confidential information, establish whether the proposed use is appropriate for your business and the provider’s terms. For a team, agree who may connect accounts and which information may be used. If you cannot establish that, keep the trial to non-sensitive examples and get advice.

4. Give the tool a clear brief

Describe the task, who the result is for, the facts it should use and the format you want. State what it must ask you about rather than guess. Give an example of your preferred style if you have one.

For a customer email, you might ask: ‘Draft a friendly update from these job notes. Use only the supplied facts, flag anything missing, and leave prices and dates unchanged. Keep it under 150 words. I will check it before sending.’ Save the instructions once they work well.

5. Test it and check the result

Try a few representative examples, including one with missing or unclear information. Compare the result with what you would normally produce. Check names, numbers, calculations, prices, dates, tone and any claims about your business.

For research, ask for sources and open the original pages yourself. A convincing answer can still be wrong. Revise the instructions when the same mistake appears, and keep a person responsible for approving the output before it is sent, published or used to make a decision.

6. Turn it into a repeatable routine

Keep a short checklist: the information to provide, the saved instructions, the checks to make and who approves the result. Store approved business facts where you can keep them up to date, and avoid keeping private customer details in a reusable template.

Practise the routine on your usual device. For a team, share approved instructions through the accounts and access arrangements you have agreed. A repeatable process should still leave you able to complete the task if the AI tool is unavailable.

7. Review before adding more

After a few uses, compare the total effort with your starting point, including time spent correcting mistakes. Keep the task if the results are useful and the checks are manageable. Change or stop the trial if it adds more work than it removes.

Add another task once the first is working. Connections to email, customer records and other systems deserve a separate plan covering access, costs, approval of actions and recovery if something goes wrong. Agree that plan before turning on automatic sending or changes to records.
